Nature of Work

This work involves typing and performing work of limited complexity.  Incumbent will spend the major portion of the time doing general clerical or typing work and will perform stenographic work as needed.  Clerical work will follow well defined procedures and the employee will generally work with close supervision.  On new and complex work assignments detailed instructions information is obtained or given.  This position is classified as “Non-exempt” under the Fair Labor Standards Act.  Incumbent reports to the Chief of Police.

Examples of Work

Takes and transcribe letters, reports, statements, memoranda and other material.

Types form copy, rough draft and other sources.

Composes correspondence and other material form instructions in routine matters.

Prepares purchase order request and invoices and submit to City Hall for payment.

Order supplies and uniforms.

Operates standard office machines not requiring previous or special training other than in typing.

Assist when needed at front window.

Answer telephone and personal inquires relative to activities of the office and refers callers when necessary to other persons where incumbent is unable to supply the information requested.

Maintain files and records.

Prepare payroll for the Greenwood Police Department

Prepare the reconciliation of the petty cash drawer, narcotics fees/fines

Responsible for the distribution of the monthly schedules for the entire Police Department

Issue organization permits

Complete travel request and voucher for the Police Officers.

Qualifications

Must have a high school diploma and completed an office system program or high school diploma with two or more years of related work experience.

Knowledge of office management skills including but not limited to, filing, preparing report, data entry, and computer.

Knowledge of modern office practices, procedures, equipment and standard clerical techniques.

Ability to make simple arithmetical calculations rapidly and accurately.

Must have the ability to establish and maintain effective working relationships with other employees and the public, and practice sound judgments.

Must have the ability to be Bonded

Must possess a Valid Mississippi Driver’s License.

Possess Good Mental and Physical Conduct.
